Patient Financial Services

At Van Wert County Hospital, we strive to accommodate your needs both during and after your hospital visit. Our billing policy will help you understand how accounts are handled and what your responsibilities are as a patient.  We also understand that healthcare billing can be confusing, healthcare expenses may cause financial difficulty for some patients; therefore, we have new programs and policies in place to help meet those needs.

Please note: If you have questions regarding your financial obligation, you are encouraged to contact your insurance company to verify details of your coverage.

Your Hospital Bill

Van Wert County Hospital is responsible for submitting bills to your insurance company and will do everything possible to expedite your claim. But you should remember that your policy is a contract between you and your insurance company and you have the final responsibility for payment of your hospital bill. We have several payment options available to assist you in paying your bill.

Your bill reflects all of the services you receive during your stay. Charges fall into two categories: a basic daily rate, which includes your room, meals, nursing care, housekeeping, and charges for special services which include items your physician orders for you, such as X-rays or laboratory tests.  If you have certain tests or treatments in the hospital, you may receive bills from physicians you did not see in person. These bills are for professional services rendered by these doctors in diagnosing and interpreting test results while you were a patient. Pathologists, radiologists, cardiologists, anesthesiologists and other specialists perform these services and are required to submit separate bills. If you have questions about these bills, please call the number printed on the statement.

Self-Pay Accounts

Self-pay accounts are defined as any account not covered by insurance. This includes balances that remain after insurance has paid. (NOTE: Itemized bills are always provided upon request.)

All self-pay accounts are expected to be paid in full within 30 days of your billing statement. Payment can be made by cash, check, money order, and credit cards (Visa, MasterCard and Discover.)

Payments will be accepted in person at the hospital cashier’s office located on the first floor near the elevators, or by calling 419-238-8637 or 1-800-686-3963, Monday thru Friday 8:00 a.m. to 5:00 p.m. There is a drop box for after-hours payments located outside the cashier’s window (checks only please).

Upfront Payment Options 

Patients will be asked for a deposit toward emergency, therapy and scheduled procedure’s co-pay/deductible at the time of service. For those without insurance or without a co-pay noted on insurance card, a flat fee will be charged. This amount is only a deposit and the amount you will be responsible for may vary. Patients will still receive a statement for any remaining balance.  For your convenience, cash, personal checks, credit cards or flexible spending cards are accepted.
Financial Assistance

Financial assistance is available to all eligible patients. Please view our Financial Assistance Policy or our Plain Language Policy (Spanish version) to see requirements. Please contact a Financial Counselor at 419-238-8646 with any questions regarding financial assistance.

Interest Free Payment Plan Option

Interest free payment plan options are available upon submission of a complete financial statement, with proof of income attached within 10 days of your billing statement.  2017 Financial Applications are available online or at the registration areas.

A payment plan amount will be determined by using the 2017 federal poverty guidelines in order to ensure the fair treatment of all patients. No accounts can be combined.  Each account will have a separate payment amount. For your convenience, you can send in one payment and we will separate it on each of your accounts.  If you would like to have a payment plan option but do not wish to submit a financial statement with proof of income, your payment will be determined by the shortest payment time frame.  All patients wishing to have a payment plan may do so.

HOPE Program

Your financial statement will also determine if you are eligible for the HOPE program (Helping Others Pay Expenses).  This program offers discounts based on your income. This discount can range from 1% to 100%. Patients must complete a Financial Application and contact the Financial Counselor at 419-238-8646 within 90 days of date of service to be eligible for this program.

HCAP Program

Your financial statement will also determine if you are eligible for the HCAP program (Hospital Care Assurance Program). This is a statewide program is designed for patient who are at or below the federal poverty guidelines. This government program has strict guidelines and is audited yearly.

MED HELP Program

The MED Help program is also offered free of charge. This agency advocated for patients to help obtain financial health through state, federal or local agencies.  MED Help will also assist with auto accident accounts that cannot be billed to accident insurance.
